Three types of files used to load ERP orders to your Asset General instance.
- Contains orders and Customer information of those orders.
- Contains orders, Contract numbers, Serial numbers, Customer information and Site ids of customers.
By processing those three types of files, ERP orders will be loaded to Asset General.
Client Administrator, Account Manager, Account Administrator and Users can view ERP orders.
Required Privileges Order Status, Assigned Contracts, Order Contact
Order Contact and Assigned Contracts are Customer USER privileges. If you are an Order Contact privilege holder, then you can view only assigned orders for you via ERP Orders. If you are an Assigned Contracts privilege holder, you can view only the Contracts assigned for you via ERP orders. Related Coverage(s) and Asset(s) of those Contract(s) can also visible to you.
To see loaded ERP orders:
Go to "Order Status" and select "ERP Order Status" from main drop down menu.
You can see the summary view of orders including search tool as "Order Search" at left side of the page.
Then select the order that you want to view.
In Order detail view, basic information of the order displays in "Order Information" section and additional order details, shipments and assets display in "Order Details" section.
As you can see in above image, an order can have multiple order lines and it has a status as "Order Status."
Order Status represents with three statuses.
Ordered - when an order comes to Asset General
In Transit - when tracking and shipping information comes to an order
Delivered - when full quantity of line has delivered
This "Order Status" maintains by the statuses of order lines.
- Order Status is "Ordered" when all the status of lines become "Ordered."
- Order Status is "In Transit" when at least one line's status becomes "In Transit."
- Order Status is "Delivered" when all the status of lines become "Delivered."
To view shipment details for an order line, click on [+]
mark displays after the line number. There you can see the shipping details (Ship to address, Ship Date, Schedule Delivery Date, etc.) and Carrier information (Carrier and Tracking number) for that particular order line. Tracking number will be a link when that particular carrier is identified by Asset General. Go to Mapping Carrier Codes

Once you click on that link, you will redirect to the particular site (Ex: FedEx) to track your product's status.
If there are some assets generated for an order line, "Assets" link will be appeared next to the status of the order line. Once you click on this "Assets" link, a popup window comes out to display the generated assets for that particular order line.
You may assign the Order Contact privilege to certain users in the End Customer's user pool to allow them to be mapped to any number of Orders as the Order Point of Contact. The point is to allow users potentially with no other levels of access to view their Order Status data in the Order Status section of Asset General.
Contracts generated from ERP order loading process also can assign to Assigned Contracts privilege holders. To see the Contract Assignment, go to Contracts and select Contracts from drop down menu. Then select the contract that you want to view.
Contract assignment and Order assignment take place when processing the Assets feed and Order feed by Asset General. You can change the assignment by visiting the detail view of the order and the contract.
